User Guide

WebMail Login: Type your e-mail address and password. Click LOGIN.

The Inbox TabWelcome to your Inbox!
From here you can check for new mail anywhere you have access to the internet.

Click "Inbox" to retrieve your new messages, or "Compose..." to begin writing a new message.

WebMail Menu Options
Check Mail- Your inbox and other folders.
Contacts- Store and edit your personal e-mail addresses.
Folders- Create custom folders.
Settings- Personalize the the way your mail is shown and handled.
Logoff- Closes your connection to KCTC WebMail.
Inbox Menu Options
New- Create a new e-mail.
Delete/Undelete- Deletes selected messages or restores previously deleted messages. Deleted messages can be identified by a Strikethrough style. Deleted messages that have been purged cannot be restored.
Purge Deleted- Permanently deletes the messages you have previously selected to delete. (Purge deleted messages occasionally to avoid a full inbox)
Prev/Next
- If multiple list-pages of mail exist, these will move the browser back and forth through them.
Move to this folder- Used to move messages between folders. Checkmark the messages you want to move and then select the folder you want to move them to from this menu.
< Page # of # >- Use the arrows to move between pages of mail.
Block
This option is located in the window of an open message.

Clicking on "Block" will add the sender of the e-mail you have open to a list that is used to filter out spam.

Once you have blocked a sender, no mail coming from this address will be sent to the Inbox. Instead it will be sent to the Quarantine.
Trusted sender
This option is located in the window of an open message.

Clicking on "Trusted Sender" will add the sender of the e-mail to a list that is not scanned for spam.

This would be useful if, for example, you want to receive weekly sales updates from a store that has the potential of being blocked as spam.

Using this option, ALL MAIL coming from the sender will be sent to the Inbox.
The New Message Window.Composing a New Message
Type the recipient's e-mail address in the "To:" field. Or click-to-select your contacts from the list on the right. Seperate multiple addresses with a semicolon (;).

Type the subject of your message in the "Subject" field.

Type the body of your message in the text box at the bottom.

You can also customize your e-mail even more by changing the format to Rich Text instead of Plain Text.

To Send: Click "Send" in the upper left hand corner.

To Save a draft of a letter in order to finish later: Click "Save to draft" in the upper left hand corner of the window. To retrieve the draft and continue your writing, select it from the drafts folder, located in the My Folders column.

Fancy Formatting
To customize your e-mail with colored fonts, highlighting, italics and other effects, click "Switch to Rich Text."

To change the font that is used, using your cursor select the paragraph, sentence or word that you want to change, and click the font drop-down on the toolbar. You can choose from several different types of Fonts such as "
Arial", "Courier New" and "Times New Roman." Choose a number from the size drop-down menu to change it's size.

To bold, italicize or underline a word, you select the word using your cursor, and then click the B button, I button, or U button.

To change the color of the text
, click the A button with colored underline and then click the color you would like to use.

To highlight text, click the the paint-bucket with colored squares and then the color you would like to use.


The easiest way to apply formatting to areas of your letter is to select the are with your cursor, and make changes using the toolbar.

Managing Folders
"Folders" allows you to add, rename, and delete custom folders from webmail.

To create a new folder: type a name for the new folder in the "New Folder" field and click "Create."

To rename a folder: select the folder you want to rename from the "Rename Folder" drop-down menu, type a new name for the folder in the "To" field, and click "Rename."


To delete a folder: checkmark the folder you want to delete and click "Delete."

Quarantine
The "Quarantine" folder allows you to view messages that were caught by the anti-spam server. The quarantine displays all incoming messages filtered by the anti-spam engine for up to five days. After a message has spent five days in quarantine it will be permanently removed from the quarantine.

To release an e-mail from the quarantine: Checkmark the little box to it's immediate left, and then choose "Release messages" from the "Select Action" drop-down menu. Multiple e-mails can be checkmarked and released at the same time. Released emails will be moved to the Inbox.

To release an email from the quarantine and added to a list of trusted senders in one step: Choose "Release and Report Messages as Legitimate email" from the Select Action drop-down-menu.

Personalizing Your Address Book
To add, edit, and removed saved e-mail addresses, click "Contacts."

To add a contact: Click "Add Contact." The only information required to create a new contact is a name and an email address. Click "Save And Close" to finish creating the new contact.

To edit a contact: Click on the contact you want to edit. When you are done making changes, click "Save And Close."

To delete a contact: Checkmark the contact and click "Delete Contacts."
Settings
This page allow you to change basic settings associated with WebMail. Make sure to click "Save" after making any changes to these settings.

Settings > Filtering > Quarantine Reports
This page allows you to change the frequency that you are e-mailed a Quarantine Report. A Quarantine Report is a summary of the suspected "spam" that has been blocked from being sent to your inbox and has been sent to the e-mail quarantine.

To set a custom schedule for recieving quarantine reports: Checmark "Override my domain defaults" and checkmark "Generate reports every # Days."

To stop recieving quarantine reports: Checkmark "Override my domain defaults" and uncheck "Generat reports every # days."

Settings > Filtering > Blocked Senders
This page maintains a list of e-mail addresses that you have blocked as spam. Any email sent to you from an address on this list will be filtered out as spam.

To add an address to the blocked senders list: Select "Email", type the email address you want to block, and click "Add."


To remove an address from the blocked senders list (to UNblock the sender): Checkmark the email address you want removed from the blocked senders list and click "Delete."

Trusted Senders
This page maintains a list of e-mail addresses that you do not want scanned for spam. Any email sent to you from an address on this list will be delivered to your inbox, even if it IS "spam."

To add an address to the trusted senders list: Select "Email", type the email address you want to add, and click "Add."

To remove an address from the Safe List and have it scanned for spam as normal: Checkmark the email address and click "Delete."

Settings > Options
These settings allow you to:

Change the timezone you are emailing from (usually set to "Use server time zone").

The number of emails and contacts that are displayed on a single page.

Set you default reply email format to HTML (Rich Text) or Text (Plain).

Add or remove carrots from quoted replies and forwards (usually set to "none").

Change your sending name.

Add a reply to address (Use if you want replies to your messages to be forwarded to another address).

Add a signature to your outgoing emails (automatically puts your name or contact information of your emails).
